Pilot CV Templates & Examples 2026: ATS-Optimized Formats That Get Interviews

Your pilot CV determines whether you get an interview—not just your flight hours. Recruiters spend 17-30 seconds on each CV, and 75% of applications are rejected by ATS (Applicant Tracking Systems) before human eyes ever see them. This guide provides templates, formatting standards, and real examples that work in 2026.

CV Structure & Section Order

The order of sections is not arbitrary—it's designed for rapid information extraction. Recruiters scan the top third first. If flight hours and license don't match requirements, they stop reading.

Order Section Content
1 Professional Header Full legal name, email, phone with country code, location
2 Key Metrics Total hours, PIC, license type, ICAO English level, age (Gulf carriers)
3 Licenses & Ratings License authority, type ratings with expiry, medical class and validity
4 Flight Time Summary Table: Aircraft, Total, PIC, SIC, ME, IFR, Night. Plus recency data.
5 Professional Experience Reverse chronological: Airline, position, base, aircraft, dates
6 Education & Training Flight school, ATPL score, university (if relevant), MCC/JOC

Critical ATS Warning: Never put contact details or license numbers in headers/footers—ATS parsers often skip these regions entirely. Keep all critical information in the main body.

Flight Hours Table Format

The flight hours table is the technical heart of your CV. It must be accurate to your logbook—discrepancies discovered during interview audits result in immediate disqualification. Round to nearest whole number or one decimal place maximum.

Standard Flight Hours Table

Aircraft Total PIC SIC Multi-Eng IFR Night
A320 Family 2,450 1,200 1,250 2,450 2,380 420
B737-800 890 450 440 890 865 156
DA42 287 156 131 287 195 42
TOTAL 3,627 1,806 1,821 3,627 3,440 618

Recency data to include: Last 90 days (142 hrs), Last 12 months (680 hrs), Multi-crew time (3,340 hrs), Sectors flown (4,820).

Wizz Air & Ryanair Factorization: Some airlines weight hours differently. Wizz Air uses a factorization system (e.g., Boeing hours × 0.5 when applying to Airbus fleet). See our Wizz factorization guide for details. Our CV Generator handles this automatically.

Templates by Experience Level

Cadet / Low-Hour Pilot (Under 500 hours)

When you have limited flight time, emphasize training quality, ATPL theory scores, and transferable skills. Flight schools with high pass rates and airline partnerships add credibility.

Section What to Include
Header Name, contact, "CPL/IR Holder" or "ATPL(A) Frozen"
Key Metrics ATPL theory score (if 90%+), total hours, ICAO English level
Training Flight school name, program type, dates, notable achievements
Flight Hours Simple table—even 200 hours formatted professionally looks good
Education University degree (if relevant to aviation/management)
Skills Languages, MCC/JOC completion, CRM training

First Officer (500-5,000 hours)

At this level, your employment history and type experience matter most. Show progression, reliability, and recent flying activity.

First Officer CV priorities: Current type rating(s) with expiry dates, recent employer references available, recency (hours in last 90 days and 12 months), multi-crew experience total, and any additional qualifications (TRI/TRE, LTC, SFI).

Captain (5,000+ hours)

Command experience, training roles, and leadership are key. You may use two pages if necessary, but keep it focused on relevant airline experience. Priorities: Total PIC and command hours prominently displayed, training qualifications (TRI, TRE, LTC, SFI), line training experience and cadets trained, fleet management or safety roles, international experience and base flexibility.

ATS Optimization

99% of Fortune 500 companies use Applicant Tracking Systems. Airlines are no exception. If your CV isn't ATS-friendly, it gets rejected before any human sees it.

✓ ATS Do's

  • • Single-column layout
  • • Standard fonts (Arial, Calibri, Times)
  • • PDF format (unless asked for Word)
  • • Keywords from job posting
  • • Both acronyms and full terms ("ATPL")

✗ ATS Don'ts

  • • Graphics, logos, or images
  • • Tables for main content
  • • Headers/footers with key info
  • • Creative fonts or colors
  • • Text boxes or columns

Regional Requirements

Region Photo Key Differences
Europe (EASA) No Focus on type ratings, recency, EASA license details
USA (FAA) No ATP certificate, 121/135 experience, FAA medical class
Gulf (Emirates, Qatar, Etihad) Required Professional photo mandatory, age, nationality, passport details
Asia (Cathay, Singapore) Often required Check airline-specific requirements, often longer CV accepted

Gulf Carrier Photo Standards: Emirates, Qatar Airways, and Etihad require professional passport-style photos. White background, business attire, no glasses.

Top 10 Mistakes to Avoid

# Mistake Why It Matters
1 Inflating flight hours Airlines verify during interviews. Discrepancies = immediate rejection.
2 Missing recency data Last 90 days and 12 months hours show you're actively flying.
3 Using generic templates Standard resume templates lack aviation-specific sections.
4 Typos in aviation terms "ATPL" not "ATP License". Shows attention to detail.
5 Expired medical or type rating Always show current validity dates.
6 Including irrelevant work history Your retail job from 10 years ago doesn't help.
7 No contact information Outdated emails or missing phone numbers are common.
8 Wrong file format PDF unless airline requests Word. Name: "FirstName_LastName_CV.pdf"
9 Not tailoring to airline Ryanair wants different things than Emirates.
10 Too long One page for most pilots. Two pages max for senior captains.
